Who we are
Trak is run by Trak Events Ltd, a company registered in England and Wales (company number 17173183), with its registered office at 66 Paul Street, London EC2A 4NA, United Kingdom. Trak Events Ltd is responsible for the personal information described in this notice, as its controller.

Who this notice covers
This notice covers the Trak website, the early-access form on trak.events and the discovery form we share directly with prospective clients. Trak does not yet offer customer accounts or collect information through a released app. We will update this notice before that changes.
What we collect
When you apply for early access, we collect:
- Your name and email address.
- Your company or trading name and team size.
- The Trak workspaces you are interested in.
- Whether you have opted out of product and launch updates.
If you applied before 3 October 2026, we also hold the phone number, location and organisation type you gave us, and any additional information you chose to add.
When you complete the Trak discovery form, we collect:
- Your name, role, email address and mobile number.
- Your company name, website, base, organisation type and services.
- Your active workforce range, workforce payment arrangement, current tools and software, who approves worked hours, and the workflow you want us to demonstrate.
- The information you provide about time-consuming work, the result that would be the biggest win for your team, and any other context for tailoring a demo.
Please do not submit staff or attendee personal data, access codes, detailed site-security information, health and safety incident details, identity documents, payment details or other sensitive personal information in any free-text field. Only include commercially sensitive information that Trak reasonably needs to understand your operation.
We also process limited technical information needed to protect the form, including form timing and submission time. We use application-level request limits and duplicate detection to help us detect automated or repeated submissions. Our infrastructure providers may also process ordinary connection and security log information, such as IP addresses, to operate and protect their services.
Why we use your information
- Early access: to receive and manage your request, understand interest in Trak and prepare relevant onboarding.
- Messages about your request: to contact you about your early-access request, including when access becomes available.
- Product and launch updates: to send people who apply for early access occasional emails about Trak. See the next section.
- Client discovery: to understand your operation, prepare relevant conversations and demonstrations, and assess how Trak may support your workforce and wider event workflows.
- Security: to prevent abuse, protect the form and keep our website and systems secure.
We rely on our legitimate interests in responding to early-access and discovery requests, keeping early-access applicants informed about Trak, planning Trak and protecting our systems.
Product and launch updates
When you apply for early access, we will also email you occasional updates about Trak’s products, features and launch. We only send updates about Trak.
You can opt out at any time by replying “unsubscribe” to any email from us or by emailing tom@trak.events. Opting out does not affect your early-access request. If you joined through our earlier form, we only send you these updates if you ticked the box to receive them.
Who receives your information
The website is served by our hosting provider, Netlify. Form submissions are stored and processed by Convex, and emails about early-access and discovery requests are sent through our email provider, Resend. These providers process information to provide, secure and support their services for us.
We may disclose information to professional advisers, regulators or authorities where reasonably necessary or required by law. We do not sell early-access information, share it with advertisers or use it for solely automated decisions or profiling.
Some service providers may process information outside the United Kingdom. Where this happens, we use the safeguards required by UK data protection law. Contact us if you would like more information about the safeguards used for a particular provider.
How long we keep your information
We keep early-access and discovery information only while it is needed to run the programme, plan Trak, respond to your request, prepare relevant follow-up and deal with related legal or security matters. We periodically review the information we hold and delete or anonymise it when it is no longer needed.
If you opt out of product and launch updates, we will stop using your details for that purpose. We may keep a minimal record of your choice so that we continue to respect it.
How we protect it
We use proportionate technical and organisational measures to protect personal information and limit access to people and service providers that need it for the purposes described in this notice. No internet service can guarantee absolute security.
Your rights
Depending on the circumstances, you may ask us to:
- Give you access to the personal information we hold.
- Correct incomplete or inaccurate information.
- Delete or restrict how we use your information.
- Provide information you gave us in a portable format where this right applies.
You may object where we rely on legitimate interests, and you can opt out of product and launch updates at any time. These rights may be limited in some circumstances by law.
To exercise a right or opt out of updates, contact tom@trak.events. We may need to verify your identity and normally respond within one month.
You may also complain to the UK Information Commissioner’s Office. We would appreciate the opportunity to address your concern first.

Links from the Trak website may lead to services we do not control. Their own privacy notices explain how they handle information.
We review this notice regularly. Before Trak launches accounts or apps, we will expand it to describe the information those services use. If we plan a materially new use of existing early-access information, we will update this notice and bring the change to your attention before that use begins.
